How do you reset a difficult client conversation?

Start by understanding the concern behind the contract term. A counteroffer can look better on paper while creating harder moving, school or family logistics for the client. Explaining the improvement does not replace listening.

  1. Change the mode. Put prospecting and other tasks aside. Ask what feels hardest, then let the client finish.
  2. Separate the term from its impact. Ask what the proposed date or condition would require the client to arrange. Confirm what matters most instead of assuming.
  3. Reflect before recommending. Summarize what you heard and ask whether you understood it. Let the client correct your interpretation.
  4. Check the timeline before pausing. Confirm the actual response deadline. When time allows, agree on a pause and a specific time to reconnect.
  5. Own your part and follow through. If you moved into solutions too quickly, say so. Agree on one action and the next client update. Promise your effort and communication, not the other party’s response.

What does the free worksheet help you prepare?

Spend five minutes writing down what the client actually said, what you may be assuming, the real-life impact of the term, your ownership statement and the next agreed action. Record the confirmed deadline and when you will update the client.

Created by Bart Gurley and Larry G Smith for working real estate agents. The transaction discussed was ongoing when recorded on October 14, 2026; no closing result is implied. This is communication coaching, not a contract form or legal advice. Follow actual deadlines and brokerage procedures.
